Start with the job the screen must do
A useful commercial display brief describes a decision or service before it describes a panel. Is a visitor finding a room, reading a menu, reviewing a live dashboard, or discovering a product? Write that task in one sentence. Then identify the audience, typical viewing time, viewing distance and person responsible for content. A display intended for a passing audience needs a different information hierarchy from an interactive kiosk where someone may spend several minutes. These distinctions help prevent a visually impressive installation that staff cannot use effectively.
Document the physical location
Supply a marked floor plan and photographs taken from the actual approach direction. Include wall materials, available floor area, ceiling height, power locations, network routes and nearby glazing. Record whether sunlight reaches the display during business hours. A photograph taken on a cloudy morning may hide afternoon reflections. Indicate mounting restrictions and access for cleaning or repairs. Where structural or electrical work is involved, assign a qualified local contractor to assess it. The manufacturer needs a clear boundary between equipment supply and work performed at the destination.
Separate content from the playback system
List the assets that must appear: video, still images, web pages, live data, maps or touch applications. Record their dimensions, formats and update frequency. Explain whether a central team will publish content to several sites or local staff will edit individual screens. Ask how the proposed player handles a missing network connection and what appears after a restart. A screen, an operating system and a content management licence are different parts of the solution; the quotation should identify which parts are included and who maintains them.
Translate requirements into acceptance checks
Instead of requesting only a particular resolution, describe what must remain readable at the intended distance. Instead of asking for remote management, define a test: publish a scheduled playlist to a named unit, disconnect its network, restore the connection, and confirm its resulting behaviour. Add installation drawings, orientation, input connections, touch response where relevant and the required operating schedule. Use a checklist with pass criteria, responsible person and evidence. This makes supplier comparisons more useful than comparing a collection of impressive but undefined specifications.
Build a controlled RFQ package
Organise the request into a site sheet, functional brief, proposed equipment schedule, integration responsibilities and acceptance plan. Keep optional requirements separate from mandatory ones. Ask suppliers to flag assumptions, exclusions and proposed alternatives rather than silently filling gaps. Before approval, reconcile the selected configuration with the quotation and drawings. RSXD supplies several commercial display families, but the exact configuration, software scope, model documentation and local installation requirements should be confirmed for the particular project. A brief becomes the shared reference for purchasing, delivery and commissioning.
A practical record to keep
Use a requirement register with one line for each unresolved issue. Include its commercial consequence, decision owner and the evidence needed to close it. For example, an unknown wall construction should remain an installation dependency, while an undecided content format should remain a playback dependency. This keeps progress visible without disguising assumptions as confirmed specifications.
Common questions
What is the most useful attachment to a display enquiry?
A dimensioned site sketch with photographs and a description of the intended content usually resolves more uncertainty than a screen size alone. Include sunlight, installation access and power information.
Should every requirement be fixed before speaking to a supplier?
No. Mark unknowns clearly and ask for alternatives. The important step is to record assumptions and resolve critical constraints before approving production or installation.
